The terms and conditions listed below, including the reservation form and all written documents such as emails exchanged between client and PATAGONIA EPICA Ltda., constitute an agreement between these parties and are therefore contracting conditions. If clients book by telephone, internet or fax they will be considered to have read the terms and conditions and are in agreement with them.

Reservation Payment
To formally reserve a trip with PATAGONIA EPICA, each person must provide:
-An initial deposit of 25% of the trip cost
-Completed forms (health/contact and liability waiver)
Final Payment
-The balance of the trip cost is due 60 days before the trip start.
Your booking with PATAGONIA EPICA is not confirmed until , the initial deposit IS pay. Upon receipt of the deposit and forms, we will issue a final invoice, showing the total cost of the trip and the balance you owe us.
When booking a trip with less than 60 days before the trip start, it is considered a last minute booking and 100% of the trip cost must be paid in full within 48 hours to confirm your reservation. Until the payment is received the trip can not be guaranteed and any changes to the itinerary may occur or be subject to additional fees.

NOTE: Is important to specify when you do the wire transfer that the cost of the wire will be absorbed by the sender, so in the section that said: Detail of Charges, must said OUR.
Cancellations and Refunds
All requests for cancellations and applicable refunds must be made in writing, sent to and received by PATAGONIA EPICA . Depending within the cancelling dates; the following are the amounts that will be refunded to you.
75 days and over= 100% (minus booking fee) ***
74-61 days prior to trip start = 75% of the trip cost
60-46 days = 50% of the trip cost
45 days or less = no refund
***Set departure trips: USD $200 per person booking fee
***Private tailor made trips: USD $500 per person booking fee.
In the event of a cancellation of 44 days or less, no money will be refunded to the client.
NOTE: At PATAGONIA EPICA discretion, and upon availability and with written request by the client, cancellations under 44 days will be considered if the client would like to change the date of the trip for a later one, subject to availability during the same year and at equal or greater value of the original trip booked. Some additional fees may be charged. No refunds will be issued for unused services at any time. There is no refund for arriving late or leaving a trip early. In the event that a guest must leave the trip early, we require written notification and explanation within 15 days of the departure from the trip.

PATAGONIA EPICA is entitled to cancel services up to 75 days in advance prior to trip start date if:
• The minimum number of full paying members in not met. (A full refund of trip cost including the booking fees will be provided).
• Cancellation or compensation payments do not apply due to “Force Majeure,” that is, unusual events and unforeseeable circumstances beyond the control of PATAGONIA EPICA or its sub-contractors for events that occur such as war, strikes, riots, terrorist activity or threats, natural disasters, climate conditions or fire, environmental emergencies, transport changes in airline companies, boaters and land carriers, changes in providers, etc.
• PATAGONIA EPICA is not responsible for expenses incurred in preparation for any cancelled trip. For this reason we strongly recommend trip cancellation insurance.

Travel Insurance:
PATAGONIA EPICA trips take place in remote locations, accidents can and do occur occasionally as well as last minute inconveniences, such as flight delays, loss of luggage, or a simple ankle twist preventing you from arriving on time at the meeting point agreed or unable to finish your vacation. Therefore we require all clients carry their own health, accident and liability insurance. Travel insurance should include protection for the full duration of your vacation including: medical expenses, injury, death, repatriation as well as cancellation and curtailment. It is good to check that there are no exclusions clauses limiting the types of activities included in your trip. PATAGONIA EPICA will act in full accordance during an emergency situation, but we can assume no responsibility for medical costs or evacuation costs during or after a trip. Liability PATAGONIA EPICA does not carry liability insurance and cannot assume any responsibility for accidents whether caused by your fault, the horse, equipment, or other persons or subcontractors on the
trip. We require all our guests to complete and sign a liability waiver that will be sent to them prior to the trip start. This form should be sent by Fax or scanned and emailed, to our offices along with the initial payment.

Health Conditions
All our guests should be in good general physical health. A general health form will be sent to each guest to be completed and signed; this should be returned to the PATAGONIA EPICA scanned and emailed, to our offices at the time of the initial trip deposit. Passport/Visas All clients should hold a valid passport whose expiration date is at least 2 months later than the trip departure date. All fees and costs associated with passports and or visas for entry into any country related to a PATAGONIA EPICA trip are the sole responsibility of the client.
Personal valuables
The operator does not assume responsibility for any loss or theft of personal belongings of the client, whether purchased on the trip or otherwise.
